When will I receive my 2019
 Form W-2?

The Internal Revenue Service (IRS) requires employers to mail Forms W-2 to employees by February 1, 2020. Forms W-2 can also be printed from UltiPro.

How will my Form W-2 be distributed to me?

 

Forms W-2 are either mailed to you using your address on record or printed using the Print option in UltiPro. Please keep your personnel records up-to-date to ensure mailings are delivered to the correct address.

What paychecks are included on my 2019 Form W-2?

Paychecks dated between January 1, 2019 and December 31, 2019 are included on the 2019 Form W-2. The reporting year for a Form W-2 statement is determined by the check date, not period ending date. 

Why doesn’t my Form W-2 match my last pay statement?                         

Plans or programs such as the 401(k) deferred savings plan, Section 125 Cafeteria Plan benefits, or employer provided life insurance can increase or decrease taxable wages reported on your Form W-2. These factors must be considered when you compare your Form W-2 and your last pay statement.  A summary of these amounts can be reviewed by accessing your online W2 information. 

Are there special requirements for reporting state wages paid to New York employees?

Yes. The amount of wages that must be reported in the State Wage, Tips, Etc. box of the federal Form W-2 is the same as the amount of federal wages reported in Box 1, Wages, Tips, Other Compensation. This requirement applies to the following:

  • Full-year New York State resident employees
  • Full-year New York non-resident employees who perform all of their job services in New York
  • Full-year New York non-resident employees who perform only a portion of their job services in New York
  • Partial-year New York State resident employees

It is the employee’s responsibility to make any necessary allocations when filing the New York State personal income tax return.

Aside from my wages, are there other types of taxable income that must be included on Form W-2?

Yes. Gross income can be realized in the form of money, property, or services. This includes items such as personal use of a company car, company-paid life insurance valued over $50,000, non-qualified stock options, and non-qualified moving expenses.

How does my Section 125 Cafeteria Plan benefits (flexible spending account) affect my taxable earnings?

 

Federal taxable wages are reduced by the amount contributed for qualified benefits. This is in accordance with IRS requirements and applies to most state taxable wages as well.

Do payroll deductions for a Section 125 Cafeteria Plan benefit appear on my Form
 W-2?

No; however, payroll deductions are listed on your pay statements.

 

What should I do if I haven’t received my Form W-2 by February 15, 2019?

What should I do if there is an error on my Form W-2?

 

Contact the Payroll Help Desk (570-784-0111 Ext. 281).  Be prepared to provide your name, Social Security Number, error description, and contact information. The problem will be researched and corrected, as needed.  

Why did I receive a Form 1095-C? Is this form required for my 2019 tax filing?

The Affordable Care Act (ACA) requires all employers to distribute FORM 1095-C to any employee eligible to receive HealthCare coverage throughout 2019. It is required for your 2019 tax filing.

What should I do if I just found an error on my pay statement?

Report errors to the Payroll Help Desk (570-784-0111 Ext. 281) as soon as possible. Don’t wait until the end of the year to look at your pay statements. Examine each pay statement that you receive in the coming year. Be sure to look at state and local codes and any deductions, even if your net pay rarely changes.

We recommend that you keep the original copy of your Form W-2 in a safe place with other tax records.

Can I file my tax return before I receive my Form W-2 by using my last pay statement?

It is not recommended to file your tax return prior to receiving your Form W-2. Copies of your Form W-2 are sent to the IRS and your state and local governments. Any miscalculation of pre-tax issues or additional earnings could cause a discrepancy.  

What do the “codes” mean on my Form W-2?

Code descriptions are listed on the back of your Form W-2.
